Pricing and Purchasing

  • What does FFL Compliance Manager count as a transaction?
    FFL Compliance Manager considers the in and out of a serial number as one transaction. EX: Acquiring serial number XYZ and Disposing serial number XYZ is considered one transaction. Additional acquisitions and dispositions of that same serial number would be considered additional transactions.
  • How many users can I have on FFL Compliance Manager?
    There is no limit to the number of users that can be added to the application. Each core package includes a license for 1 user. Adding additional users requires the purchase of additional user licenses.
  • Why would I need an extra user(s)?
    The best approach is to individually license each employee who will use FFL Compliance Manager. Having a named user record for each employee lets you track their activity, assign appropriate permissions for access, and know who is making changes to transactions. 

    You will also want to purchase a user license for each Kiosk user if you plan to leverage the e4473 Kiosk Mode for streamlining the buyer's e4473 Part A form completion.
  • What are the payment options?
    We accept payments via Visa, MasterCard, and American Express. 

    For existing Epicor customers, we can simply add it to your existing billing plan. Contact your account manager if you would like to take advantage of this option.
  • Can I cancel my subscription?
    If at any time you are not satisfied with our product or service, you can cancel your plan by logging into your account at https://subscribe.epicorretailcloud.com. Epicor Eagle customers can contact their account manager.

General Application Use

  • Is any of my bound book data shared with the ATF?
    No. Your bound book data is yours and it is only accessible by and visible to your business. The only way it is shared with the ATF is if YOU share it during an inspection or if you choose to do so on a voluntary basis.
  • Can I use this software anywhere?
    Yes. FFL Compliance Manager is designed to enable access your bound book from any web-enabled device. With no software to download or updates to install, your software will always be up to date, allowing your focus to remain on running your business.
  • How do I upgrade my software?
    With FFL Compliance Manager there is no software to download or updates to install. Your software will always be up-to-date, allowing your focus to remain on running your business. Additionally, we maintain a blog of software updates that serves as a version change log, accessible from the home screen. We also keep our Help content updated to reflect the current functionality of your software.
  • What is Kiosk Mode?
    Kiosk Mode can be enabled on any device to facilitate the completion of the buyer's 4473 Part A form. This helps you avoid bottlenecks at checkout and simplify the 4473 Part A process for your customers. Completed e4473 forms can be retained for reporting and auditing, and are linked to the associated transfers. Kiosk Mode requires an additional user license for configuring a Kiosk user.
  • Can I run more than one location?
    Yes, absolutely. You can have multiple businesses locations or branches running FFL Compliance Manager. Additional Branches can easily be configured under "Organization Maintenance" in the Admin menu.
  • How many bound books can I create/maintain?
    FFL Compliance Manager does not limit the number of bound books that you can create, or the number of transactions you can enter into your bound books. However, ATF regulations provide requirements for the relationship between your Federal Firearms License and the nature and number of bound books. Consult an ATF compliance expert to learn more.
  • Can I export my bound book data?
    FFL Compliance Manager makes exporting data a breeze. All of our reports can easily be exported to Microsoft Excel or PDF formats, and performing a full download of your bound book data in accordance with ATF Ruling 2013-5 can be done in a single click from the Compliance Menu.
  • Can I import transactions into FFL Compliance Manager?
    Yes, FFL Compliance Manager provides import functionality. You can import open dispositions and acquisitions through the import function in the Acquisition screen.

    If you are uncertain about what should be imported, please consult an ATF compliance expert to learn more about the regulatory requirements.
  • Are there any restrictions on the age of acquisitions/dispositions that can be entered? Can I enter historical Information?
    FFL Compliance Manager does not limit the age of the acquisitions / dispositions entered into the system. We also allow importing open dispositions and acquisitions through the import function in the Acquisition screen.
  • What do I do with my old/existing bound book data?
    ATF regulations provide record retention requirements for Federal Firearms Licensees. If you are closing your FFL, transferring from paper records to electronic, or changing electronic record keeping systems, you should review the specific ATF regulations or consult with an ATF Compliance expert.
  • I've been using a written bound book. What do I do to begin using FFL Compliance Manager?
    As long as there aren’t any license changes or other special scenarios, you can move open dispositions into your new bound book using the original information for tracing purposes. In the old book you would dispose to self and indicate “disposition to electronic A&D book”. Be sure to leverage the “Import” function for Acquisitions & Open Dispositions if you are converting from an electronic bound book into FFL Compliance Manager.

  • What kind of training and support is available for FFL Compliance Manager?
    Help documentation, video tutorials and guided assistance are only a click away. Real-time, in-context walkthrough tutorials guide you through an intuitive user experience. Assistance is there when and where you need it. In addition to the robust help tools email support is included with all subscriptions.

Technical Details

  • What browsers are supported for running FFL Compliance Manager?
    FFL Compliance Manager is designed to take full advantage of the latest web technologies. While most major web browser products will work just fine, some modern browsers are not fully HTML 5-compliant, or may not support a complete JavaScript implementation needed by our modern applications. Epicor strives to maintain compatibility with all major web browsers where possible. However, for the best experience we recommend using Google’s Chrome browser. No version of Microsoft’s Internet Explorer browser is currently supported. The Edge browser (Microsoft’s replacement for Internet Explorer) is evolving rapidly but may not provide an ideal experience today. Epicor encourages our customers to open an email trouble ticket for browser incompatibility issues they may encounter.
  • Can I use a barcode scanner with FFL Compliance Manager?
    FFL Compliance Manager supports a variety of Bluetooth and USB scanners for use in the application workflows. While most scanners are "plug and play," we cannot guarantee all variants will be supported. We have tested and verified the following models for use with FFL Compliance Manager: Socket Mobile 7Ci, Socket Mobile 7Xi, Symbol LS2208, Symbol DS6708DL.
  • What document scanners can I use with FFL Compliance Manager?
    Currently FFL Compliance Manager supports document scanning when using a Windows host station. As long as the scanner is installed and functional on the host workstation it will be available for selection and use in the designated FFL Compliance Manager workflows.

    FFL Compliance Manager supports attaching images and files from any OS device, but our in-line scanning is currently only supported on Windows.
  • What ERP/POS systems does FFL Compliance Manager integrate with?
    FFL Compliance Manager is designed to stand alone or integrate seamlessly with Epicor Eagle N Series, industry-leading retail management software. We are anticipating launching the integration with Eagle N Series in June 2016
  • Where is my data stored?
    All FFL Compliance Manager data is stored in highly secure US data centers, and FFL Compliance Manager will also automatically copy and store regulated bound book records to a local PC each day. In addition, FFL Compliance Manager uses a wide range of security measures, including role-based authorization, optional Multi-Factor Authentication, intrusion detection, vulnerability-scanning service audits, database field level encryption and scheduled daily backups. Your data is still YOUR data and only your business will have access to it.
  • I am a current Eagle customer. Is there integration between FFL Compliance Manager and Eagle?
    Yes, integration between FFL Compliance Manager and Eagle is now available.

ATF Compliance

  • Is any of my bound book data shared with the ATF?
    No. Your bound book data is yours and it is only accessible and visible to your business. The only way it is shared with the ATF is if YOU share it during an inspection or if you choose to do so on a voluntary basis.
  • Do I still have to print out my 4473 documents?
    Yes, the ATF still recommends you print and file completed 4473 forms. Additionally, FFL Compliance manager will store and link the electronic versions to the corresponding transfer disposition.
  • Are there any restrictions on the age of acquisitions/dispositions that can be entered? Can I enter Historical Information?
    FFL Compliance Manager does not limit the age of the acquisitions / dispositions that can be entered into the system. We also allow importing open dispositions and acquisitions through the import function in the Acquisition screen.
  • Does FFL Compliance Manager handle state regulations?
    Currently, FFL Compliance Manager is designed for compliance at the federal level. However, transaction workflows for acquisitions and dispositions support scanning or attaching state forms for easy retrieval and record keeping.
  • Is this software compliant? / Is cloud software compliant?

    Epicor FFL Compliance Manager™ is a software as a service application licensed by Epicor Software Corporation. This application has been designed,in partnership with leading compliance and operations experts, to be used by a company engaged in the firearms business to help track and manage important information related to firearms acquisitions and dispositions. Using the Epicor FFL Compliance Manager service will not guarantee that you will be in compliance with all applicable firearms rules and regulations. If you want specific legal and/or regulatory advice, you should consult with your attorney and/or an ATF Compliance expert

    A software application can be a tool to help you comply with rules and regulations.   • Does the Epicor FFL Compliance Manager incorporate the newly revised ATF Form 4473 that goes into effect January 16, 2017?
    Epicor is aware of the new ATF Form 4473, Firearms Transaction Record (Form 4473) revision and that the previous edition (April 2012) will become obsolete as of January 16, 2017. We plan to have the revised Form 4473 integrated into our FFL Compliance Manager application prior to the deadline of January 16, 2017.
